Privacy Policy

1. Introduction

Tellix AI (“Tellix,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website, use our platform, or interact with our AI-powered services.

2. Information We Collect

We may collect the following types of information:

• Contact Details: Name, email address, phone number, and any details you provide when you enquire, make a booking, or get in touch.
• Enquiry & Conversation Data: The enquiry messages and conversation transcripts exchanged with Capture across channels — website chat, SMS, Instagram, and voice calls — including AI-generated summaries, as directed by our customers.
• Booking Information: Appointment and booking details, such as the service requested, date and time, and status.
• Technical Data: IP address, browser type, device information, and cookies when you visit our website.
• Integrations: Data from the services a business connects to Capture (for example, its booking calendar, payment processor, and messaging provider).

3. How We Use Your Information

• To provide, operate, and improve our AI voice, chat, and automation services.
• To process transactions and send related information (confirmations, invoices).
• To communicate with you about updates, support, and marketing (with consent).
• To monitor and analyze usage trends and improve the user experience.
• To comply with legal obligations and enforce our Terms of Service.

4. Data Sharing & Disclosure

We do not sell your personal information. We may share data with:

• Service Providers: Infrastructure, payment processing, and analytics partners who process data on our behalf under strict contractual obligations.
• Integrations: Third-party platforms a business explicitly connects (e.g., Cal.com, Google Calendar, Stripe, and Twilio).
• Claude (Anthropic): A business can connect Claude to its Capture workspace. Once connected, Claude can read that workspace’s bookings, conversations, client records, settings and reports when someone on the team asks it to, and can change settings only after they confirm each change. It can’t access billing or delete data, and the business can disconnect it at any time in Capture under Settings › Connect to Claude.
• Legal Requirements: When required by law, regulation, subpoena, or court order.
• Business Transfers: In connection with a merger, acquisition, or asset sale.

5. Data Security

We implement technical and organisational measures to protect your data, including encryption in transit (TLS) and at rest (AES-256), access controls, and regular security reviews. The Capture database is stored in Sydney, Australia. Some of the AI, voice and messaging providers we use are based overseas. However, no method of electronic transmission or storage is 100% secure.

6. Australian Privacy Compliance

Capture is built for Australian businesses and handles personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). We are transparent about what we collect and why, use personal information only for the purposes described in this policy, and support your rights to access, correct, and delete your information.

7. Data Retention

We retain your data for as long as your account is active or as needed to provide services. Call recordings and transcripts are retained according to your account settings and applicable legal requirements. You may request deletion of your data at any time.

8. Your Rights

Depending on your jurisdiction, you may have the right to:

• Access, correct, or delete your personal information.
• Object to or restrict processing of your data.
• Request data portability.
• Withdraw consent for marketing communications.
• File a complaint with a data protection authority.

To exercise any of these rights, contact us at hello@tellixai.com.

9. Cookies

We use essential cookies to operate our website. We use PostHog for analytics and session recordings of how visitors use our website, with every form field masked, so what you type is never recorded. You can manage cookie preferences through your browser settings.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on this page and updating the effective date.
